11 Time Management Tips and Techniques for Recruiters: Part 1

Time management is an important trait that every person should have. But, when it comes to recruiters and talent acquisition teams, time management becomes necessary for dealing with the workload. It is well known that HR professionals and recruiters spend most of their time dealing with candidates, as that is the majority of their job descriptions. But, doing so without proper time management can lead to poor results and missing monthly targets.

As per recent survey results, only 18% of people use a proper time management tool to prioritize and handle all their tasks. But, only using time management tools doesn’t count, as there are different ways that you can use to make the most out of your working hours. What are they? Read on to find out.

 

6 Best Time Management Tips for Recruiters

For recruiters, the most important thing is to prioritize their tasks for the day, so there are no missed deadlines. But it’s easier said than done. That’s why we have formulated some tips that can greatly help HR professionals and recruiters.

1. Create Your Own To-Do List

Though it might seem childish, writing down all tasks on paper does help a lot. Doing so gives you a vision for your work of the day. A proper to-do list will help you to view the important tasks that need to be done, the ones that need more time, tasks that you can do at the end of the day, etc.

Besides, creating such lists prevents you from forgetting the tasks and saves time and energy. Once you strike out the tasks of the day from your list, you can create another for the upcoming day.

There are many free task management software available nowadays that are specifically designed to help you create virtual to-do lists. You can take the help of tools like SmartTask, Todoist, Toodledo, etc., to design your own to-do list for the day.

2. Prioritize Your Tasks

We know how overwhelming it can be to handle tons of calls, conduct interviews, and oversee the entire recruitment process. That’s why you need to prioritize your tasks first.

By prioritizing the tasks, you would get a clear idea of tasks that are of utmost importance and need immediate action, tasks that you can leave for the day, and those that you can delegate to your colleagues.

Besides, by arranging tasks based on their urgencies, you get to accomplish more goals during your working hours. By the end of the day, you will notice that all the important activities are done, and the “worried” feeling is gone from your mind.

3. Set Realistic Goals

The next tip that recruiters should keep in mind is to set achievable goals. You should set a timeline based on your capacity and skills and see if it matches the deadline. If not, then it’s better to ask for extra time to complete tasks instead of stretching out and burning with the workload. Why? Because it will help you remain calm and confident while working instead of being stressed out and anxious due to less time.

Setting goals that you know are achievable gives you a morale boost and removes the feeling of “being useless” that often occurs due to overpromising and unrealistic targets. So, the next time you are given tasks with impossible deadlines, ask for extra time and then get the work done.

4. Score Your Candidates

Recruiters deal with hundreds of candidates daily, and amidst this chaos, it’s obvious to miss out on good candidates. So, how can you avoid making such mistakes? Try scoring your candidates on their resumes and portfolios. By giving scores to the candidates based on their CVs, portfolios, and other aspects, you would be able to distinguish which candidates are fit for the role and hence weed them out from the huge pool.

For example, a job position requires a candidate who is good at analyzing, organizing, and communicating. There are three basic points that you need to look for. Sounds easy, right? But, there are lots of candidates who have the above three qualifications. So, how are you going to differentiate them? Look for candidates with certificates in analyzing or a live portfolio of their work that gives you a good view of them.

Based on such notions, you can score the candidates out of 10 and then weed out the ones with the highest scores. It saves you both time and energy, and you have a list of suitable candidates for the company.

5. Take Regular Breaks

Every human needs to take breaks to remain productive throughout the day. While employees can take regular breaks, the same is not true for recruiters. Why? Because there are tons of candidates mailing and calling the recruiters throughout the day.

Due to this, you need to fix break timings and not attend to any calls or emails throughout the period. Proper breaks help you relax and unwind from a stressful day so you can return to work with a fresh mind. Make sure your break room is stocked with healthy snacks that will help you maintain your energy when it’s time to get back to work.

6. Take Care of Your Health

As stated previously, it is common for HR professionals and recruiters to attend to calls and emails even after work hours. There are tons of candidates who need information about the job position, the status of their application, and much more.

Attending such calls can become overwhelming and take a toll on your mental health. That’s why you need to take proper care of your health. Leave your work at work and don’t attend any calls or emails after shutting down. You can always get back to the candidates in the morning.

Make sure you are getting enough sleep as your brain needs to rest after working the whole day. Meanwhile, ensure that you do not skip any meals, as your body needs fuel for running. In short, you are responsible for your own health, and the better you take care of it, the more benefits you reap.
